We are hiring on behalf of our leading multinational Client:Recruitment CoordinatorExC Center | Full-Time |About the RoleWe are looking for a detail-oriented and proactive Recruitment Coordinator to join our Excellence Center team.
You will support the end-to-end recruitment lifecycle — from budget confirmation and intake through to onboarding — while managing vendor relationships, contract renewals, purchase orders, and cross-functional coordination.
This role is central to ensuring smooth, efficient hiring operations and workforce planning across the organization.
Key Responsibilities Hiring Request CoordinationCoordinate with the Finance Manager to confirm budget availability for each new hiring request.Follow up with hiring managers to ensure intake forms are submitted on time.Manage the full recruitment cycle for all open positions.Tracker Management & ReportingMaintain and update the ExC tracker with all request details to ensure accurate, real-time reporting.Prepare and distribute the Weekly Tracker Report to relevant stakeholders.Recruitment CoordinationShare job descriptions with recruitment vendors.Review and filter the first batch of CVs, screening out candidates above the allocated budget before sharing with the hiring manager.Communicate hiring manager feedback and available interview slots to vendors.Coordinate interview scheduling for shortlisted candidates and send interview invitations.Offer & Onboarding SupportRequest vendor quotations upon candidate acceptance and share with the hiring manager.Follow up on onboarding tickets, purchase orders, and required manager actions.Share login credentials with new hires and raise IT tickets for laptop preparation before the start date.Coordinate with IT and Badging teams on Day 1 to ensure laptop and badge readiness.Conduct a brief introduction to the ExC Center team and confirm smooth onboarding completion with the hiring manager.Annual Leave TrackingMaintain an Excel tracker to monitor team members' annual and carried-over leave balances.Coordinate with vendors at year-end regarding leave balances and share carried-over leave details with each manager.Contract RenewalsMonitor upcoming contract expiration dates and notify hiring managers one month in advance.Share annual performance evaluations and follow up to confirm renewal decisions.Communicate approved salary increases to vendors and request updated quotations.Travel RequestsCoordinate business travel requests for team members with vendors and follow up on required arrangements.Purchase Orders & InvoicesProcess and track purchase orders for contingent workers.Follow up on pending invoices with vendors and managers.Internal CommunicationMaintain ongoing communication and coordination with the ExC team and cross-functional stakeholders.
Basic QualificationsBachelor's degree in Human Resources, Business Administration, or a related field.Proficiency in Microsoft Office Suite — particularly Excel (trackers, pivot tables, VLOOKUP) and Outlook.Strong written and verbal communication skills in English and Arabic.Ability to manage multiple priorities simultaneously in a fast-paced environment.High attention to detail with strong organizational and follow-up skills.Working knowledge of basic HR and recruitment principles and local labor regulations.Experience Required1–3 years of experience in recruitment coordination, HR operations, or a similar HR administrative role.Proven experience coordinating with external staffing vendors or recruitment agencies.Hands-on experience managing end-to-end recruitment processes: CV screening, interview scheduling, and onboarding.Experience maintaining HR trackers and generating periodic reports (Excel-based or ATSbased).Exposure to purchase order management, invoice follow-up, or vendor coordination is a plus.Experience with contract lifecycle management — renewals and performance evaluations — is preferred.
Preferred QualificationsHR certification (PHRi, SHRM-CP, or equivalent) is a plus.Prior experience in a shared-services or excellence center (ExC) environment.Familiarity with ServiceNow or similar ticketing and workflow tools.Experience supporting a multinational or regional team.Amazon is an Equal Opportunity Employer
