Document Controller

Job DescriptionWe are looking for a highly organized Project Manager Assistant / Document Controller to support Project Managers in delivering large-scale engineering and construction projects across the AMET region (Africa, Middle East & Turkey).This role is part of the Global Engineering Services (GES) and Ops Engineering team, responsible for supporting project execution across multiple countries and business segments.You will play a key role in ensuring smooth project documentation, coordination, and compliance across all phases of delivery. Key ResponsibilitiesProject Support & CoordinationSupport Project Managers across multiple projects (10–15 PMs across 5 countries)Coordinate with internal teams such as GPO, Capital Planning, RME, WHS, and external vendorsEnsure smooth execution of project administrative and documentation processesProject Documentation & Change ManagementSupport change management processes and onboarding of new projectsMaintain and organize all project documentation (MSRA, handover files, approvals, etc.)Procurement & Quotation SupportAssist in obtaining quotations following company procurement policiesSupport Project Managers in vendor communication and documentationRaise purchase orders based on approved quotations and standardsCapital Approval & Budget SupportSupport preparation of Capital Appropriation Requests (CAR)Follow up on approvals and ensure timely processingAssist in budget setup and coordination with finance systemsVendor & Workforce OnboardingSupport vendor onboarding on internal platforms and compliance systemsCollect required vendor documentation (insurance, legal, compliance, etc.)Coordinate worker onboarding, certifications, and site access requirementsEnsure compliance with local regulations and company standardsBudget Tracking & ReportingMaintain project budget tracking in financial systemsPrepare monthly reports and updates for management reviewCompliance & Safety DocumentationSupport MSRA preparation and approval with WHS teamsEnsure all safety and compliance documentation is completed and approvedAssist in collecting handover documentation packages from vendorsManagement of ChangeSupport change management documentation and follow-up approvals Strong organizational and documentation management skillsExcellent attention to detail and ability to manage multiple tasksGood communication skills in English (additional languages are a plus)Proficiency in Microsoft Office (Excel, Word, Outlook)Ability to work in a fast-paced, structured project environmentPrior experience in project coordination, document control, or administrative support is a plusPreferred SkillsExperience in construction, engineering, or large-scale project environmentsFamiliarity with procurement or vendor management processesStrong coordination and follow-up abilities Strong organizational and documentation management skillsExcellent attention to detail and ability to manage multiple tasksGood communication skills in English (additional languages are a plus)Proficiency in Microsoft Office (Excel, Word, Outlook)Ability to work in a fast-paced, structured project environmentPrior experience in project coordination, document control, or administrative support is a plusPreferred SkillsExperience in construction, engineering, or large-scale project environmentsFamiliarity with procurement or vendor management processesStrong coordination and follow-up abilities
